Update Content from File" for Editable Text Box Templates
Problem Statement: Many of our most important templates were built "natively" in PandaDoc using individual text boxes, not an uploaded file.
Our legal and operations teams frequently send us revised versions of these documents as a new PDF or Word file. When this happens, our only option is to manually:
Open the new PDF and the old PandaDoc template side-by-side.
Read through both to find the differences.
Manually copy the new, updated text from the PDF.
Find the corresponding text box in the PandaDoc template.
Delete the old text and paste in the new text.
This is an extremely slow, high-risk process. It's very easy to miss a change or make a copy-paste error, which is a major compliance and legal risk for us.
Proposed Solution: Create a "smart update" feature. The workflow would be:
An admin opens the existing PandaDoc template (the one made of text boxes).
There is a new option, like "Update Content from File."
The admin uploads the new, revised PDF or Word document from our legal team.
PandaDoc intelligently scans the new file and compares its text content against the text inside the template's existing text boxes.
A "review" screen appears (similar to "Track Changes" in Word). PandaDoc would show all the detected differences and suggest the changes.
Example: It would highlight a text box and show "Old Text: [....]" and "New Text: [....]".
The admin can then quickly click "Accept" or "Reject" for each change, allowing them to update an entire legal document in minutes, not hours.
Business Impact / Value: This feature would be a game-changer for maintaining compliance and accuracy.
Massive Time Savings: It would cut down template update time by 90% or more.
Reduces Human Error: It removes the risk of manual copy-paste errors, ensuring our documents are always 100% accurate.
Improves Compliance: This allows us to implement legal and operational changes almost instantly across all our templates, instead of fearing the manual update process.
